Compensation: $45,000–$50,000 annually
Reports To: Accounting Officer / Office Manager

Job Summary:
We are seeking a detail-oriented Accounting Assistant to support the accounting and administrative functions of a growing organization. This role works closely with the Accounting Officer, Office Manager, and leadership team to assist with billing, accounts receivable, accounts payable documentation, lien waiver processing, and project administration.
The ideal candidate is organized, proactive, and enjoys working in a fast-paced office environment while building strong relationships with both internal teams and external partners.
 
Key Responsibilities:
Accounting & Billing Support
  • Support the Accounting Officer with billing activities, lien waiver documentation, and monthly spreadsheets 
  • Prepare project pre-lien notices accurately and on time 
  • Maintain and organize Accounts Receivable (A/R) filing systems 
  • Assist with Accounts Payable (A/P) documentation and related paperwork 
  • Maintain comprehensive billing and project documentation 
  • Provide regular progress updates and documentation to management 
  • Support project cost-control efforts and identify opportunities to improve efficiency 
Administrative Support
  • Assist the Office Manager and Accounting team with daily administrative and accounting functions 
  • Assist in developing and following company policies and procedures 
  • Serve as the secondary point of contact for incoming phone calls 
  • Maintain organized records and documentation 
  • Perform additional administrative and accounting duties as assigned 
Communication & Relationship Management
  • Foster positive working relationships with vendors, customers, and internal team members 
  • Communicate professionally with leadership and other departments 
  • Identify potential issues and work proactively toward solutions 
  • Support the team in maintaining efficient and accurate accounting processes 
 
Qualifications:
Required
  • Strong Microsoft Excel skills with the ability to learn RFMS software 
  • Excellent organizational skills with strong attention to detail 
  • Strong communication and interpersonal skills 
  • Ability to prioritize multiple tasks in a fast-paced environment 
  • Strong problem-solving and analytical abilities 
  • Positive attitude with a high level of professionalism and energy 
  • Ability to identify potential issues and resolve them proactively 
  • Team-oriented with a commitment to supporting company goals and procedures 
  • Ability to sit and work at a computer for extended periods 
  • Ability to perform occasional walking, standing, filing, and other general office activities 
Preferred
  • Bachelor's degree in Finance, Economics, Mathematics, Business Administration, or a related field 
  • Previous accounting, bookkeeping, or administrative experience 
  • Previous experience with RFMS or similar accounting or business management software 
 
Working Conditions:
  • Professional office environment 
  • Frequent sitting with occasional walking, standing, and filing 
  • Daily computer use and frequent interaction with accounting software and Microsoft Office applications 
  • Regular communication with internal staff, vendors, and customers 
  • Regular use of standard office equipment, including computers, phones, printers, and copiers
