Job Summary:
We are seeking an organized and detail-oriented Administrative Support Specialist Contractor to provide administrative, customer service, and functional support for a transmission permitting and land rights department. This is a temporary contract assignment expected to last approximately three months.
This position will assist with records management, land rights documentation, legal document review, project mailings, and general administrative support. The ideal candidate brings several years of administrative or office experience, strong Microsoft Office skills, and the ability to manage confidential and sensitive information with accuracy and professionalism. This position will report to the Maple Grove office and is expected to begin as soon as possible.
 
Key Responsibilities:
Records & Document Management
  • Organize, file, and maintain hard copy and electronic records 
  • Compile, maintain, and track land rights records and related documentation 
  • File and organize easements, encroachments, line rebuilds, relocations, confinements, agreements, permits, releases, partial releases, and other land rights legal documents 
  • Maintain accurate and organized records according to established document management procedures 
  • Handle confidential and sensitive information appropriately 
Legal & Project Documentation
  • Prepare, review, and proof legal documents for content, completeness, and errors 
  • Create and coordinate project mailings 
  • Assist with maintaining accurate documentation for transmission permitting and land rights projects 
  • Identify missing or incomplete information and communicate concerns as appropriate 
Administrative & Department Support
  • Provide administrative and customer service support to the transmission permitting and land rights team 
  • Assist with filing, data entry, document preparation, and general office responsibilities 
  • Communicate professionally with internal and external business partners 
  • Manage multiple priorities while meeting established deadlines 
  • Support additional administrative projects and department needs as assigned 
 
Qualifications:
Required
  • High School Diploma or GED 
  • 4–5 years of administrative or office experience 
  • Proficiency with Microsoft Office Suite 
  • Knowledge of standard office procedures and administrative functions 
  • Strong organizational and time-management skills 
  • Excellent attention to detail and accuracy 
  • Strong written and verbal communication skills 
  • Ability to build and maintain effective working relationships with business partners 
  • Ability to maintain confidential information and exercise sound judgment 
  • Strong customer service skills and a professional, collaborative approach 
  • Ability to work independently and manage multiple priorities and deadlines 
  • Ability to sit and work at a computer for extended periods 
  • Ability to perform frequent document review, filing, data entry, and other administrative tasks 
  • Ability to accurately organize and handle both electronic and hard copy records 
Preferred
  • Two years of post-secondary education 
  • Previous experience working with legal, land rights, permitting, utility, or similar documentation 
  • Experience with electronic document management systems 
 
Working Conditions:
  • Full-time temporary contract assignment averaging 40 hours per week 
  • Assignment expected to last approximately three months based on business needs 
  • In-person position requiring regular reporting to the Maple Grove office 
  • Primarily professional office environment 
  • Extended periods of computer use, document review, filing, and administrative work 
  • Frequent use of standard office equipment and electronic document management systems 
  • Work requires consistent attention to detail, organization, confidentiality, and accuracy
